Adding an attachment to a transaction

Important!: This feature only works when posting insurance and patient transactions.

A user with payment posting permissions can add an attachment to a transaction in the "Finish later" or review window. Let's see how it works!

In the "Finish Later" or Review window, you’ll see two tabs: Notes and Attachments.

To add an attachment, click the Attachments tab.

Now click "Attach file."

The window that opens will probably look familiar as it looks much like the same window you use to add attachments to a claim.

  1. File type: Click this field and then select the file type from the list.
  2. File to import: Click "Choose File" to navigate to the location where the file resides.

  3. Click Upload. The progress bar will display the status of the upload.

  4. When the upload is complete, click Attach.

Note: There is a limit of five attachments allowed in any one transaction with a file size limitation of (500 MB) each. After five, the "Attach file" button will disable.

After clicking Attach, the document displays in the Attachments tab and an orange ball displays showing the number of attachments. The orange ball show you the number of attachments (or notes) that are associated with this transaction. The attachment(s) will not display on any of the claims in the transaction until after you post the transaction.

After the transaction is posted:

  • Each claim in the transaction will display the attachment.

  • An attachment can be edited on the claim, this will not impact the attachment on the transaction.

  • An attachment can be deleted from a claim, this will not delete the attachment from the transaction. However, if you delete an attachment from the transaction, it will be deleted from all its associated claims.

  • The ability to add an attachment is available up until the transaction is posted. At that time, you cannot add an attachment.

There are a couple of things to note about this feature:

  • You can post an attachment to a "Resolve" claim even when the resolve action is not complete.

  • You can post an attachment to PLB adjustment claims.

  • An attachment can be deleted either before or after the batch is posted. However, deleting the attachment after the batch is posted will remove it from all the claims within the transaction. Attachments are applied to claims within the transaction only after the transaction is successfully posted.

  • If a transaction is reversed, the attachments will be deleted from all the claims in the transaction.

  • Entries in the audit trail will be made when an attachment is added or deleted from a claim.

  • You cannot post an attachment to an ignored claim.

  • Transaction notes on all associated claims will be deleted if a transaction is reversed.
